Over the past 20 years, Saint Mary’s College has hosted there own Summer Wine and Beer Fest. At this event, a plethora of wine and beer venders come to share their product. They offer tastings, insight, and the opportunity to purchase their products. In addition to these vendors, silent auction items are available for bidding. I had the responsibility of uploading each basket to the platform GiveSmart. This process was quite tedious, it took me two to three days to complete. There was close to 60 baskets and giveaways!
Every basket had specific themes with corresponding items. For example, there was a Men’s Basketball themed basket. To name a few, the basket included, SMC swag, vintage beer steins, and tickets to a game of your choice. I had to record each item and give the baskets a catchy name. Additionally, I was asked to include the Face Market Value (FMV) and decide the proper bidding increment. It is very important to upload this information accurately, for tax purposes and for those interested in bidding and winning.

Hospitality Hack: Work with diligence and patience. When completing a tedious task, it is important to work an unhurriedly fashion.

On the day of the Festival, I set out the silent auction bidding sheets next to the correct basket. These sheets keep track of the bidding throughout the event. As final call is announced, I began to pull the sheets away, highlighting the final winner. Next, we had the fun task of giving out the baskets and leading them through the payment process. There was faces of pure joy and some slightly disappointed ones too!
Previous to this event, I was not familiar with the complexities of a silent auction. It was very insightful. Because of my careful work, the items were entered seamlessly. I felt very proud to pick up a new skill and complete it with utter success.
